What personal data we collect and why we collect it

Comments 

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s internet protocol (IP) address and browser user agent string to help spam detection. 

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment. 

Members Area 

Visitors to the members area of the website choose their own username, therefore there is potential for them to disclose personally identifiable information through their username and any information they choose to post, however this is done at the member’s own discretion.  Where personal information is posted about one member by another member this will be deleted and appropriate action taken regarding permission to access the members area of the website. 

Media 

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. 

Contact Forms 

Information provided on any of the site’s contact forms, including Comments, Registration, Referral, Forth Valley Carers Card and Membership Registration, will be stored on the site’s database to allow us to monitor incoming messages. Your information may also be recorded on our secure client database to enable us to keep a record of interactions with clients and professionals. This helps us to deliver a better quality of service to users. 

Embedded content from other websites 

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. 

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. 

Analytics

This site uses Google Analytics to collect anonymised data about site users. This includes age range, gender and approximate location.  For users who are logged into a Google account, this data may also include interests. All data is anonymised.

Who we share your data with

The data that you provide to us will not be shared with third parties without your express consent, or unless we are required to do so by law.  

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Lawful basis for processing your personal information 

Under Article 6 of the General Data Protection Regulations (GDPR) our lawful basis for processing and holding personal information is ‘legitimate interest’ as it is necessary for Stirling Carers Centre to use this information in order to provide you with our services. 

What rights you have over your data 

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. In certain circumstances you can also request that we rectify or erase any personal data we hold about you, restrict or object to processing, data portability and rights in relation to automated decision making. This does not include any data we are obliged to keep for administrative, legal, or security purposes. 

Where we send your data 

Visitor comments may be checked through an automated spam detection service. 

Your contact information 

Any contact details that you provide on this site will be stored in the site’s database and may also be recorded in our secure client database. You can request to have these details removed at any time.  

Where your data is held 

Your personal data is held on secure servers operated by an agency contracted by us. 

We use a backup system to save data from our website in case anything goes wrong. Data (including the details of members registered to the site and of those who have used a web contact form) is saved to a Dropbox account and stored securely.

We do not transfer your data outside the EEA.

Data Protection

How we protect your data 

Your information will be kept in accordance with data protection legislation. We will never share your information with third parties without your consent or unless required to do so by law. We are committed to ensuring that your information is secure and work with a third party service to store, safeguard and secure information we gather. 

What data breach procedures we have in place? 

Our Data Protection Policy sets out arrangements to mitigate against data breaches in relation to all aspects of data security. We employ security measures to protect your information from access by unauthorised persons and against unlawful processing, accidental loss, destruction or damage.  

What third parties we receive data from 

Personal data is received from professionals in the referral process of a data subject to the Stirling Carers Centre.  Consent is received from the data subject prior to any processing of their data. 

What automated decision making and/or profiling we do with user data 

Automated processing is used to generate anonymised reports for statutory reporting; reporting to funders and for statistical and evaluative purposes. 

Industry regulatory disclosure requirements

Anonymised reports are produced to fulfil the requirements of the charity regulator OSCR. 

Changes to our privacy policy

We may amend this policy from time to time. If we make any substantial changes we will notify you by posting a prominent notice on the Site.
